Kickback, LLC (“Kickback,” “we,” “us,” or “our”) operates the Kickback platform and related apps, including Costing, Follow-Up, HUD, and Coach (collectively, the “Services”). This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our websites, create an account, or use the Services.
By using the Services, you agree to this Privacy Policy. If you do not agree, do not use the Services.
1. Who This Policy Covers
This policy applies to:
- Customer users — people who create accounts or are invited to a Kickback workspace (owners, admins, teammates).
- Website visitors — people who browse nowkickback.com or related marketing pages.
- Prospects — people who request demos, early access, or sales contact.
When our customers connect their CRM, vendors, or other business systems, Kickback processes business data on their behalf. In that role we act as a service provider / processor. Our customers remain the controller of that data. This policy describes how we handle that data as part of providing the Services.
2. Information We Collect
Account and contact information
Name, email address, phone number, company name, role, password (hashed), and billing details needed to create and manage your account.
Workspace and business data
Depending on which apps you use and which integrations you enable, this may include:
- CRM job, customer, estimate, and invoice records synced from your connected systems
- Vendor invoices, receipts, line items, and related PDFs or email attachments
- Matching decisions, follow-up content, dashboards, and coaching-related records you create in Kickback
- Credentials and tokens you store so Kickback can connect to your CRM and vendors (held in a secured vault)
Usage and device information
Log data such as IP address, browser type, device identifiers, pages viewed, feature usage, referring URLs, and timestamps. We use this to operate, secure, and improve the Services.
Communications
Messages you send us (support, sales, feedback) and records of transactional emails we send you (receipts, security alerts, product notices).
Cookies and similar technologies
We use cookies and similar technologies for authentication, preferences, security, analytics, and (where permitted) marketing. You can control cookies through your browser settings; disabling some cookies may limit features of the Services.
3. How We Use Information
We use personal information to:
- Provide, maintain, and improve the Services
- Authenticate users and protect accounts
- Sync and process data from integrations you connect
- Match invoices to jobs, generate follow-ups, and power other product features
- Process payments and manage subscriptions
- Send service, security, and (with your consent where required) product communications
- Respond to support and sales requests
- Monitor for abuse, fraud, and security incidents
- Comply with law and enforce our agreements
We do not sell personal information. We do not use customer business data from connected systems to train general-purpose AI models for unrelated third parties.
4. How We Share Information
We may share information with:
- Service providers who help us host, process payments, send email, provide analytics, or support operations — under contracts that limit their use of the data
- Integration partners you authorize (for example, your CRM or vendors) so data can flow to and from those systems
- Professional advisors such as lawyers, auditors, and insurers when needed
- Authorities when required by law, legal process, or to protect rights, safety, and security
- A successor in connection with a merger, acquisition, or sale of assets, subject to appropriate confidentiality
Workspace admins control who on their team can access their Kickback data. We do not share one customer’s business data with another customer.
5. Data Retention
We retain personal information for as long as your account is active and as needed to provide the Services, meet legal obligations, resolve disputes, and enforce agreements. After account closure, we delete or anonymize data within a reasonable period, except where retention is required by law or for legitimate business needs (for example, billing records).
6. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and secure storage of integration credentials. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
7. Your Choices and Rights
Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to or restrict certain processing. You can:
- Update most account details in the product settings
- Ask your workspace admin to remove or adjust your user access
- Contact us at privacy@nowkickback.com to exercise privacy rights
- Unsubscribe from marketing emails via the link in those messages
If we process data on behalf of a customer, we may redirect your request to that customer so they can respond as the controller.
8. Children
The Services are for business use and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
9. International Transfers
Kickback is based in the United States. If you access the Services from outside the U.S., your information may be transferred to and processed in the United States or other countries where we or our providers operate. Those countries may have different data-protection laws than your own.
10. Third-Party Sites and Services
The Services may link to or integrate with third-party sites and products. Their privacy practices are governed by their own policies. We are not responsible for those practices.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the “Last updated” date. Material changes may also be communicated by email or in-product notice. Continued use of the Services after an update means you accept the revised policy.
